Order Posts Phase 3 Comments

1)  Order Posts

a)  “Order Posts” should be renamed to “Enter New Post Item”

b)  “Email Sent From:” should be renamed to “Mail Sent From:”

c)  The Company Name and the Customer Name should appear above “the “Post Details” heading.

d)  Putting information in to the “Description:” box should not be mandatory, it should be optional.

e)  If the drop down box could be made bigger so that all three choices (Companies House Post, HMRC Statutory Post and Business Post) could be seen immediately then that would be good.

f)  Could the “Submit” button be changed to read “Continue”

g)  When selecting Companies House or HMRC Statutory Post for Registered Office customers and clicking submit a message appears stating “Insufficient Balance”.

Companies House or HMRC Statutory Post for Registered Office customers is free.

Registered Office customers are only charged £2.50 (or another amount) if they receive Business Post.

Where Registered Office customers receive Business Post we need to have a facility to be able to enter the amount we want them to pay.

The default would be £2.50 but we need to be able to change this and have that amount shown in the email sent to them.

h)  For Combined Registered Office and Mail Forwarding Customers like John Smith Companies House or HMRC Statutory Post is free (the registered office part of their service)

When he receives Business Post he would not be asked for or charged £2.50 because as a combined registered office and mail forwarding customer he would be required to have a postal deposit as all Mail Forwarding customers are.

When he receives Business Post the charge would be based on Royal Mail Charges.

We would therefore need to see a place where we can enter the postage charge when selecting the Business Post option any customer who has Mail Forwarding (whether as a standalone service or as part of the combined package).

2)  Confirm Order Posts

a)  “Confirm Order Posts” should be renamed to “Confirm New Post Item”

b)  “Order Post” should be renamed as “Post Item”

c)  The Company Name and the Customer Name should appear at the top of the list of details on this screen.

d)  After clicking the “Confirm” button an address label screen should appear with the option to print a label with the current delivery address on.

3)  Change Address Details

a)  Could the page heading “Change Address Details” be changed to “Change Customer Details”

b)  Underneath the heading should be displayed the Company Name, Customer Name and the URN of the customer.

c)  “Current Address Details” should read “Current Customer Details”

d)  The Customer’s Name should be added to the list of fields that can be changed

e)  The Company Name and then the Customer Name should be at the top of the list of the fields that can be changed.

f)  Address 2, Address 3 and County should be optional fields, not mandatory.

g)  There should be the option to enter more than one email address for each customer.

4)  Postal Deposit Debit / Credit History (now called “Postal Deposit Account”)

a)  “Postal Deposit Account” should be the heading on this page.

b)  Again the Company Name and then the Customer Name should be displayed under the title.

c)  “Debit (£)” should be renamed to “Post Charges” and “Credit (£)” renamed to “Postal Deposits”.

5)  Email History

a)  The Search facility (Order Date Start From etc) is not required on this page.

b)  A facility where we can filter to view a single TYPE (subject) of emails (renewal Notice, Passport request etc) would be very useful.

c)  All emails (with or without filters) would be displayed in date order – most recent first.

d)  Again the Company Name and then the Customer Name should be displayed under the title.

e)  The “Delete” email button should be removed.

6)  Links to other Pages

A second menu under “Home |  Manage Order |  Email Content |  Settings |  Change Password |  Logout  | Global Search” would be useful.

This second menu would only be seen after going in to “Enter New Post Item”, “Edit Customer Details”, “Postal Deposit Account”, “Email History” or “Customer Details” screens.

The Second Menu would contain links to the “Enter New Post Item”, “Edit Customer Details”, “Postal Deposit Account”, “Email History” or “Customer Details” screens for that same customer.

For example, if I was entering looking at the Email History for John Smith I could click on “Postal Deposit Account” in the second menu and immediately view HIS postal deposit account.

7)   On all sub pages could narrative for the links “« Back to Order List” be changed to “« Return to Main Screen”

8)  Renewals and Postal Deposit Emails

a)  Could both the Renewals and Postal Deposit functions be moved off the Main Page and be added as two separate headings on the Main Menu (Home |  Manage Order |  Email Content |  Settings |  Change Password |  Logout)

b)  They should be named “Renewals” and “Postal Deposits”

9)  Renewals Page

a)  The “Email” button should be renamed as “Send Renewal Emails”

b)  The “<< Email to customer to inform him / her for Product / Service Expiry Date” should be changed to read “Send a renewal email to selected customers”

c)  The Renewals Screen should display the last date renewal emails were sent out as “Renewal Emails Were Last Sent Out on dd/mm/yyyy at hh:mm:ss”

d)  On the Renewals Page there would be the five search items: Order Date Start From : , Order Date Start To : , Order Date Expired From :, Order Date Expired To, and Order Type :

e)  Could the items in the drop down list for “Order Type” be named “Company Formation System” and “Company Shop Orders”

f)  In the Search fields where we can select “Day” “Mon” “Year” could the narrative for “Mon” be changed to “Mth”.

g)  When a search is carried out on the Renewal page the number of customers meeting the search criteria should be displayed.

h)  On clicking on “Email” the confirmation screen should state how many emails were sent.

i)  Could the key R  Registered Office Service Product   M  Mail Forwarding Service Product   C  Combined Services Package Product be changed to RO  Registered Office Service Product   MF  Mail Forwarding Service Product   ROMF  Combined Registered Office & Mail Forwarding Service

10)  Postal Deposits Page

a)  On the Postal Deposits screen only customers who have the Mail Forwarding service (either as a standalone service or as part of the Combined package) would be displayed on this page.

b)  The column listing “order number” can be removed

c)  “Name” should be changed to “Customer Name”

d)  The Company Name should be shown next to Customer Name

e)  The column D/C should be renamed to “Balance”

f)  Only amounts relating to postal deposit should be used to calculate the balance. Note: £144 is for the service not a postal deposit.

g)  Could the key R  Registered Office Service Product   M  Mail Forwarding Service Product   C  Combined Services Package Product be changed to RO  Registered Office Service Product   MF  Mail Forwarding Service Product   ROMF  Combined Registered Office & Mail Forwarding Service

h)  The Search is a little confusing. The “Minimum Postal Deposit:” is not needed as this seems to show customers who have big deposits and therefore will not need an email.

i)  The “Maximum Postal Deposit:” should be renamed to “Set Deposit Balance Threshold” and this should be fine

j)  On the Postal Deposit screen it would be useful to be able to click on the “Balance” heading to list the customers in order of the amount of their balance with the ones with the lowest amounts showing first.

k)  The button “Sent postal deposit top up alert” could be changed to “Send Postal Deposit Requests”

l)  When a search is carried out on the Postal Deposits page the number of customers meeting the search criteria should be displayed.

m)  On clicking on “Send Postal Deposit Requests” the confirmation screen should state how many emails were sent.

11)  Settings – On this screen I am not sure what “Email:” and “From Email for Email:” mean. Could these be changed to more descriptive titles.

12)  Meta tags in the Online Post System should have the No Index/ No Follow tag.
